Assign workers

Pick workers, see the compliance, availability and clash checks, and publish.

Open a shift and select Manage assignments to choose who works it. Direct support has one slot, intensive support has one slot per worker (2 to 1, 3 to 1), and group support has a slot per worker with participant allocations.

Picking a worker

For each slot, pick a worker. The picker shows each worker’s compliance status and steers you away from anyone who cannot take the shift.

The checks

Before a worker can take a shift, the platform checks:

  • Compliance (blocks): a worker with a missing or expired required check cannot be assigned, for example “NDIS worker screening: missing”. A check expiring within 30 days shows as a warning but does not block.
  • Availability (warns): if the worker has marked themselves unavailable or on leave for that time, or has no availability saved, you will see a warning. You can still go ahead.
  • Clashes (blocks): a worker already on an overlapping shift cannot be double-booked: “[Worker] already has an overlapping shift assignment in this time window. Assign a different worker.”

Watch out

Compliance and double-booking are hard blocks. Availability is a warning you can override with your judgement.

Group and intensive shifts

  • Group: allocate each participant to a worker’s slot using the checkboxes. Every participant must be allocated to at least one worker before you can finish.
  • Intensive: add each worker. Every worker is billed at the full rate.

Publishing

Assigning a worker is not enough on its own. Select Publish on the slot to send the shift to the worker. Only then does it appear in their mobile app, ready to clock in. You can unpublish a shift up until the worker clocks in.
